# How to Prepare Clearance Inventory for MaxRetail Sync

Welcome to MaxRetail setup and integration with WinSale. To automatically send your clearance inventory to MaxRetail through WinSale, the setup is straightforward: you dedicate a department or season to MaxRetail, assign the items you want to send to it, and let us know when you’re ready.

## Step 1: Create a dedicated department or season

You’ll need either a **department** or a **season** in WinSale dedicated to MaxRetail. You can name it whatever you like, for example Clearance or MaxRetail.

### Option A: Create a department

1. Go to **Profiles → Department Code Definition**.
2. Click the **Add** button.
3. Type in the number, give it a name, and click **OK**.

### Option B: Create a season

1. Go to **Profiles → Season**.
2. Create a season code (for example, 3), give it a name such as MaxRetail, and click **OK**.

That’s the baseline setup.

## Step 2: Assign items to the MaxRetail department

This is the most repetitive part of the process, but it’s simple.

1. Go to **Modules → Inventory**.
2. Find the item you want to send to MaxRetail.
3. Change its **department** to your MaxRetail department (for example, 999). The department name displays once selected.

> If you don’t remember the department name you chose, double-click the yellow field to bring up a lookup table, then select MaxRetail from the list.

1. Click **Save**. It doesn’t matter which size or width you have selected when you do this.
2. WinSale asks whether you want to apply the new information (in this case, the department) to every size and width in the style’s run. Click **Yes** to update the entire style at once.

> If a style has different pricing across its size run, don’t update the pricing when prompted. Update only the department.

Once saved, every item in that style belongs to the MaxRetail department. Repeat this for each style you want to send, and you’ll build your MaxRetail list.

## Important: check cost and quantity

Two things are worth watching closely as you go:

- **Verify your cost and resale price.** Whatever cost is on the item is what gets sent to MaxRetail. Since you’re already going through styles and reassigning departments, take a moment to confirm your costs are accurate.
- **Only items with quantity greater than zero are sent.** An item must have quantity on hand to be included in the list that goes to MaxRetail.

## Step 3: Let us enable the sync

Once you’ve assigned all the items you want to MaxRetail, email us at **support@winsale.net** with your store name. We’ll enable the integration, and that night your items go to MaxRetail.

## That’s it

Create a dedicated department or season, assign your clearance styles to it, double-check your costs and quantities, and send us an email. From there the sync runs automatically.
